GuestLink ("we", "our", "us") operates a hospitality messaging platform that helps accommodation hosts manage guest communications. This Privacy Policy explains how we collect, use, and protect your information.
2. Information We Collect
We collect the following types of information:
- Gmail data: We access your Gmail account solely to read booking-related emails from OTA platforms (Booking.com, Airbnb, Agoda, Expedia). We do not read, store, or process any other emails.
- Booking information: Guest names, check-in/check-out dates, reservation IDs, and contact information provided by OTA platforms.
- Account information: Your email address and hotel/property details you provide during registration.
3. How We Use Your Information
- To automatically process booking confirmation emails and create reservation records
- To generate AI-assisted draft responses to guest inquiries
- To send notifications to hosts via WhatsApp and LINE
- To improve our services
4. Gmail API Usage
GuestLink uses the Gmail API (gmail.modify scope) for the following purposes:
- We read booking confirmation emails and guest inquiry emails only from known OTA senders (Booking.com, Airbnb, Agoda, Expedia)
- We send reply messages to guests on behalf of the host within existing email threads, using the host's Gmail account
- We do not compose new emails, delete emails, or access any emails outside of OTA booking and guest communications
- We do not use Gmail data for advertising purposes
- We do not share Gmail data with third parties except as necessary to operate the service (AI processing via Google Gemini)
- GuestLink's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements
5. Data Storage and Security
All data is stored securely on Google Cloud Platform (Cloud SQL, Cloud Run) in the Asia Northeast region. We implement industry-standard security measures including encrypted connections and access controls.
6. Data Retention
Booking and message data is retained for 12 months after the checkout date. You may request deletion of your data at any time by contacting us.
7. Third-Party Services
We use the following third-party services:
- Google Gemini API: For AI-powered email parsing and response generation
- Twilio: For WhatsApp notification delivery
- LINE Messaging API: For LINE notification delivery
